ABM Research, Team HQ & Live Client Reporting
We build the systems a business runs on. So far that is three platforms: one that builds and researches account lists for ABM, one that runs a team day to day, and one that shows clients their numbers live.
Software Built Around Your Business
An account-based marketing research platform, a team HQ and a live client reporting platform. Designed and built in-house, and owned by you.
The problem
Software That Fits One Business
Most businesses run a specific operation on software designed for somebody else's.
- The spreadsheet operation
- The real business runs in five spreadsheets, three chat threads and one person's head. It works until it does not, and it cannot be handed to anybody.
- The subscription pile
- A different tool for every function, none of them talking to each other, each charging monthly for a fraction of what is needed.
- The long document
- Account research living in Google Docs and sheets that nobody can sort, search or keep current, so the list is stale the week after it is built.
- The monthly PDF
- Clients waiting for a report somebody compiled by hand, when the numbers were available the whole month.
This is a fit problem, not a technology problem. Nothing on this page is about replacing tools that already work. It is about the gap between what your business actually does and what you can buy off a shelf.
Overview
Three Platforms We Have Built
Software we build, run and rely on ourselves.
ABM platform
Builds the account list for an account-based program, then researches the decision makers at every account until the file is complete and sourced.
HQ
Runs a team day to day: who is doing what, what is done, what is late, and where the hours went.
Client reporting
Shows a client their ads, search and local numbers live, behind a login, instead of in a monthly PDF.
Each one was built to solve a real problem inside our own work first. The ABM platform runs on a live client program, the HQ runs our own company, and the reporting platform is what our clients sign in to.
Platform 1
The ABM Platform
From a spreadsheet of company names to a ranked, researched, sourced account list.
It replaces the spreadsheet account lists and the long account write-ups with one screen per program, a sortable list of every account, and a one-page file on each one.
- Tiered by design
- Every program is split into one-to-one, one-to-few and one-to-many accounts, each tier with its own columns, its own scoring model and its own research checklist.
- Three numbers, never blended
- Fit (should we want them), Research (do we know enough about them) and Warmth (do they know us yet). Each is calculated separately so one cannot hide another.
- A one-pager per account
- The company, its buying centre, its triggers and its next step, written up in sections and kept next to the evidence behind them.
- Built to feed campaigns
- The output is an account list ready to be targeted, not a raw dump somebody has to clean first.
What it feeds: account-based marketing and LinkedIn Ads against the named list.
Platform 1
Lists Built From Public Registers
Source, group, tier, then research. In that order.
A list is only as good as where it starts. The platform builds a list from the regulator's own public register where one exists, rather than from a directory or a search result, and keeps the source, the date and the row count on record.
- Group by the company that decides
- Several storefronts are often one licensed company under different banners. The list is grouped by the company, not the shop name, so one buyer is never counted as five.
- A parent check
- Companies behind more than one banner are found and merged, with the evidence, before anything is researched.
- Tier and trim, with reasons
- Accounts are tiered by footprint and cut only for a reason the brief gives, and the reason is written down.
- Approved before it is researched
- The setup is signed off by a person before any research effort is spent on it.
We say data pipeline in full on this page. On the CRM and ABM pages, “pipeline” means the sales pipeline. They are different things.
Platform 1
Research That Cannot Skip A Step
Accuracy is enforced by the software, not left to whoever is researching that day.
Research agents gather the information, and the platform decides when an account is done. A file reaches 100% only when every checklist item is filled and has a source. “Not found” does not count.
- Decision makers, fully
- Each person needs a name, an exact current title, a role in the buying centre, a dated source, a LinkedIn profile, a work location and a published business email or direct phone.
- Published contact details only
- No guessed email patterns and no home addresses. A contact detail is accepted only with the page it was published on.
- Goes stale on purpose
- Items expire after a refresh window, so a record that nobody has checked in months drops back out of 100%.
- People decide what is uncertain
- Conflicts, unverified people and proposed score changes wait in a review queue for a person to accept or reject. The platform cannot overwrite a human edit, delete a record or contact anyone.
Platform 2
HQ: The System A Team Runs On
Built for our own team first, and now something we can build for yours.
Not a project management subscription bent into shape
An HQ is one place where the whole operation is visible and the whole team works. Everyone logs in, sees their own work and ticks it off. Recurring work reschedules itself, and the manager sees what is done, what is late and who is overloaded without chasing anyone for an update.
The point is that the day's hours go to the work that moves the business. When time and tasks are visible, drift is visible too.
Platform 2
What An HQ Tracks
The common set, and why it works as one system.
- Each person's day
- Their tasks, what is done and what is outstanding, in one view.
- Time
- Hours logged against the work, so you can see where the day actually went.
- Recurring work
- Weekly, fortnightly and monthly tasks reappear on schedule instead of relying on memory.
- Briefings
- Work assigned into the platform ahead of time: who owns what, what is due, what is blocked.
- Goals and leaderboard
- Targets and team performance made visible rather than assumed.
- Live reporting
- Pipeline and results in the same place the team works, so nobody waits for a monthly report to know how the month is going.
The modules are assembled per business. The common set lives in one place instead of six subscriptions that do not talk to each other.
Platform 3
The Client Reporting Platform
What our clients actually log into.
Our own software, built in-house and not licensed. A live client dashboard where Meta, Google, Business Profile, SEO and organic numbers land in one place and refresh as the month runs. No waiting for a PDF.
- One login per client
- Each client signs in and sees their own numbers and only theirs.
- Every channel together
- Paid, search, local and organic results side by side, not in five separate tools.
- Refreshed as the month runs
- The picture moves during the month, not after it.
- Role-based access
- Who can see what is enforced on the server rather than hidden in the interface.
See it in the software behind our service.
The stack
What They Run On
Plain tools, chosen to last, and one sentence about ownership most vendors avoid.
- A small, dependable core
- The ABM platform and the HQ are built on Python and SQLite with no heavy framework to rent, patch or outgrow.
- Supabase
- The database and authentication layer behind our portals and the reporting platform.
- Automation
- The scheduled work, such as research queues, reminders and report refreshes, runs in the background on its own.
- GoHighLevel
- The CRM layer, connected so leads and pipeline move between systems rather than being re-entered by hand.
Ownership, stated plainly
What we build for you is yours. The accounts, the data and the platform stay with you, which is not the norm in this category.
Qualify yourself out
Who It Is For, And What We Talk People Out Of
The honest version, on the service where honesty is most expensive to skip.
This fits when
- You run account-based marketing: And need the research engine behind it rather than a list you rebuy every quarter.
- Nobody can see what the team is doing: And the day's hours are the one resource you cannot get back.
- The operation lives in spreadsheets: And in somebody's memory, which is a risk rather than a system.
- Clients get a PDF once a month: When the numbers were available all month.
It is the wrong call when
- An existing tool genuinely does the job: We would tell you to keep it. This is the easiest service on the site to oversell.
- You need it live next week: Custom builds do not compress that far, and pretending otherwise is how projects fail.
- Nobody internally will own it: An unused platform is worse than none: it is the same problem plus a bill.
- The requirement is a website or a login: That is a websites and portals job.
The process
Scope To Launch
Five phases, and the first one is where most of the value is decided.
- Scope
- We map how the business actually works before deciding what to build. Most of the value is decided here, because building the wrong thing well is the expensive failure.
- Design
- Screens and permissions designed together, so who sees what is decided before a screen is built.
- Build
- Developed in stages, with working software to look at early, rather than a long silence followed by a reveal.
- Launch
- Data loaded, users onboarded, and the team actually trained on it. A platform nobody was shown how to use does not get used.
- Iterate
- It changes as the business changes. Ours are maintained and extended.
The scope
What Is Included, And What It Costs To Run
What comes with a build, and the running costs most vendors leave until the invoice.
- Scope: mapping how the business actually works before anything is designed
- Custom design and full build, in-house
- The permission model designed before the interface, for anything with a login
- CRM, tracking and reporting connected at build time
- Data loading, user onboarding and actual training for the team who will use it
- Hosting and infrastructure, stated up front rather than discovered later
- Maintenance, support and ongoing development as the business changes
- Ownership: the code, the data and the accounts stay with you
Custom software carries running costs a template does not: hosting, the database and the automation running in the background. Those numbers go in the proposal rather than on this page, because they depend entirely on what gets built.
Proof
Proof: What We Have Built
What is live, what runs on it, and what we are deliberately not claiming.
- ABM platform
- In use on a live client account-based program, with the account list, research and review queue running inside it.
- HQ
- Runs our own company: tasks, time, briefings and recurring client work for the whole team.
- Client reporting
- Live on our client accounts, behind a login per client.
- What we will not claim
- A headline number we cannot source. The proof here is the work itself rather than a metric.

Software & Platforms FAQ
Who owns it, what it is, and whether any of this is AI, answered plainly.
What platforms have you built?
Three so far. An account-based marketing platform that builds account lists and researches the people who decide. An HQ that runs a team day to day. And a client reporting platform that shows live results. The first is on a live client program, the second runs our own company, and the third is what our clients log into.
Do I own what you build?
Yes. The code, the data and the accounts stay with you, which is not the norm in this category and is worth asking every vendor you talk to.
Can I use one of these platforms for my business?
Possibly. We scope that on a call. A platform we have already built is a faster starting point than a blank page, and anything that has to change is quoted plainly before work starts.
Is any of this AI?
The ABM platform uses research agents to gather and check information about accounts and decision makers, then holds every finding for review wherever it is uncertain. People decide what goes in, and nothing is invented to fill a gap.
Why NewLife
You, In-House, Or A Typical Agency
Everything we do runs on one system we call The Film-to-Funnel System: in-house film → paid ads → landing page → CRM follow-up → optimize. Here's how that stacks up against doing it yourself or hiring a typical agency.
| In-house | Typical agency | NewLife | |
|---|---|---|---|
| Creative | You film it on a phone | Outsourced or stock footage | Our in-house cinema crew, filmed on-site |
| Who does the work | You, between running the business | A junior account manager | Cruz and the senior team, directly |
| The system | Disconnected tools that don't talk | Ads, then hands-off | Film → ads → landing page → CRM, one connected system |
| Your accounts & data | Yours, but no time to run them | Often held hostage | Always yours - you keep everything |
| Follow-up | Manual, when you remember | Rarely their problem | Automated speed-to-lead in the CRM |
| Local knowledge | You know your market | A national, generic playbook | Barrie & Simcoe County, on the ground |
